Position Summary

The Crew Scheduler is responsible for the support, administration, and maintenance of Clay Lacy Aviation aircraft and pilot viability and feasibility of all CLA assets for owner and company business. This includes interfacing with Contract Pilots, internal employees, and various other internal and external resources to determine the planning of the future state. The Crew Scheduler will provide direct administrative support to the Director of Operations and Director of Inflight. The Crew Scheduler will ensure compliance with federal rules and regulations while promoting the Clay Lacy Aviation vision, mission, and values to create a positive team environment that raises the level of safety, service, and value for our customers and employees.


  • Manage the planning, communications, and coordination of aircraft, pilots, Limited Part-Time [LPT], Cabin Attendants, etc.
  • Create, implement, and track project plans for flight operation initiatives
  • Creates and maintains tracking forms and programs for all aircraft and crewmembers
  • Inputs aircraft and pilot availability, vacation, and maintenance schedules, for tracking into the company database and software
  • Maintains computer database for each aircraft and crewmember for feasibility and trip viability
  • Audits pilot and aircraft schedules and records to ensure feasibility for CLA and owner trips
  • Contribute to Safety, Continuous Improvement Plan (CIP), and quality improvement
  • Plan, conduct, and coordinate activities with all other departments across Clay Lacy
  • Develop action plans based on needs assessments and organize meetings with Flight Operations leadership, business partners, and internal customers
  • Work with the Director of Training, Director of Standards, and Director of Inflight to develop and maintain trip availability calendars for all aspects of CLA
  • Liaise with company departments on all crew-related matters
  • Quality and maintenance oversight of aircraft and pilot records pertaining to the viability of trips
  • Analyze data, identify trends, implement Solutions, and ensure continuous performance improvement is achieved
  • Participate as a quality assurance auditor for flight standards, flight operations, and training
  • Compiles Quarterly statistical reports on aircraft and crew data trends to aid the VP of Flight Operations
  • Processes trip swaps, trip drops, sick calls, emergency leaves, and other daily schedules
  • Assign all open flying to qualified crewmembers according to FAR’s, CBA’s and Company policies.
  • Manage daily responsibilities such as legalities, daily reports, Hot Spare Crew and related tasks, Reserve crewmember utilization, and travel updates
  • Continuous auditing and verification of coverage of all scheduled flights, and monitoring of crewmember schedules to ensure legality/FAR compliance.
  • Optimize the utilization of crewmembers to ensure daily flights are adequately staffed.
  • Report significant operational events to the Lead Crew
  • Close coordination with the Lead Crew Scheduler with regard to any issues that will affect the
  • Perform other duties as assigned to support the efficient operation of the department and maintain company expectations
  • Direct administrative support to the Director of Training and Director of Standards
  • Other duties as assigned by the VP of Flight Operations, Director of Operations, or Director of Inflight

Requirements and Experience

  • Working knowledge of the training manuals and FAA regulations that apply to Part 91 and 135 flight crew operations is preferred.
  • Previous experience and familiarity with Part 135 Aviation are strongly preferred.
  • Ability to perform at a high level in an extremely busy and deadline-oriented environment.
