Executive Assistant to VP of Maintenance

Position Summary

Performs administrative duties for executive management. Responsibilities may include screening calls; managing calendars; making travel, meeting, and event arrangements; preparing reports and financial data. Requires strong computer and Internet research skills, flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors. Sensitivity to confidential matters may be required.

Responsibilities

  • Managing the day-to-day operations of the office.
  • Managing projects and conducting research.
  • Organizing and maintaining files and records.
  • Planning and scheduling meetings and appointments.
  • Preparing and editing correspondence, reports, and presentations.
  • Making travel and guest arrangements.
  • Providing quality customer service.
  • Creating templates and updating manuals.
  • Submitting Expense reports.
  • Performing admin support to the maintenance department, as required.
  • Perform other duties as required.
  • Must be able to pass drug screening and background checks.

 Education

Associate’s or bachelor’s degree in Business Administration or equivalent experience.

 Experience

  • Aviation experience preferred but not required.
  • Minimum of 3-5 years of office experience

 Skills and Abilities

  • Ability to prioritize and organize workflow.
  • Excellent verbal and written communication skills.
  • Able to multi-task.
  • Demonstrated ability to screen calls, manage calendars, and arrange meetings, travels, and events.
  • Well-versed in preparing reports and typing correspondence.
  • Known for working well with all levels of managers, staff, clients, and vendors.
  • Able to handle sensitive documents in a very confidential manner.
  • First-hand experience in MS Word, Excel, PowerPoint, and Outlook
  • Qualified to perform research work for specific assignments and projects.
  • Demonstrated analytical and critical thinking skills.
  • Able to take initiative and execute assigned tasks in a timely and flawless manner.
  • Strong teamwork acumen with a profound ability to work under extreme pressure.
  • Strong passion for working in a fast-paced and result-oriented environment.
  • Exceptional interpersonal skills.
