In-Flight Ground Coordinator

Position Summary

The Ground Coordinators are a central part of the In-Flight Services Team. This high-profile team serves as a primary support system for cabin/flight crew, aircraft management, and various departments within Clay Lacy Aviation. The Ground Coordinator’s demeanor should reflect the quality of Clay Lacy Aviation to our guests and flight crew with a positive attitude. The ideal candidate will also be goal-oriented, proactive, and enjoy a customer-centric culture.

Responsibilities

  • Perform all areas of Core Responsibilities of an Inflight Ground Coordinator
  • Contribute to the training and development to less experienced Ground Coordinators, Cabin Attendants and Flight crew.
  • Overseas diligence and accuracy of In-Flight Service Ground Team’s Audit and Task data input.
  • Track and update FBO Sales and 135 Charter Sales Reports.
  • Aid with writing, updating, and implementing In-Flight Services Ground Team SOP’s and Ground Coordinator Manual.
  • Assist with coordination of aircraft outfitting.
  • Create aircraft diagrams, update both aircraft and client profiles in scheduling software.
  • Motivate each team member to meet and greet transient aircraft and document in the referral log sheet.
  • Work alongside Lead Ground Coordinator in facilitating events, special requests, etc.
  • Update internal meeting spreadsheet to include vendor and cost(s).
  • Point-of-Sale System
    • Enter new customers and flight/cabin crew into point-of-sale system
    • Back-office clean-up.
    • IFS inventory input.
    • Month-end close/open till.
  • Collaborate with team to create and record training videos for internal website and informational purposes
  • Other duties and tasks as assigned

Core In-flight Ground Coordinator Responsibilities

  • Assist flight/cabin crew with all in-flight related services to ensure a high level of customer service.
  • Maintain In-Flight Services Store by shopping for necessary items, rotating and organizing all amenities
  • Aircraft Audit – Check aircraft for expired stock, the organization of spaces, and ensure cleanliness. Report all interior blemishes to appropriate parties.
  • Aircraft Duties – Assist with taking initial/departing aircraft inventory. Keep assigned aircraft diagrams up to date.
  • Aircraft Weight and Balance assistance – offload/onload loose items and weigh inventory.
  • Ensure all storage areas including aircraft lockers and cages are organized.
  • Assist with internal meeting/event setup as well as stock and organize meeting/event rooms.
  • Cross train with Line Service, Customer Service Representatives, and Concierge.
  • Assist our Marketing department with staging aircraft for photoshoots.
  • Handle any last-minute needs for our Charter department, client visits, and aircraft displays.
  • Liaison between flight/cabin crew and dry-cleaning vendor ensuring all aircraft dry cleaning orders are complete.
  • Monitor and respond to incoming email requests.
  • Meet and greet transient guests.
  • Shop for and prepare flower arrangements.
  • Assist in cleaning and wiping down common workstations and supporting Facility Department.
  • Knowledge of Clay Lacy Aviation operations.
  • Other duties and tasks as assigned.

Education

  • High School Diploma, or Equivalent
  • Flight Safety/FACTS training preferred
  • Corporate School of Etiquette training or similar service training preferred

Requirements

  • two to five-plus years of aviation client relationsexperience preferred; event planning or service industry background will be considered if coming from outside the network.
  • Pre-employment drug screening and background check
  • Must have and maintain a valid California Driver’s License along with a reliable vehicle. Restricted licenses are NOT acceptable for employment at Clay Lacy.
  • Available to work flexible hours, evenings, weekends, and holidays.
  • Proficiency with Clay Lacy Aviation’s scheduling software
  • Comfortable with working outdoors, day, night and in all weather conditions.
  • Discretion of confidential information.
  • Able to lift 25 pounds.
  • COVID-19 Vaccinated
  • Food Handlers Permit
