Training Administrator

Position Summary

The Training Administrator is responsible for the support, administration, and maintenance of Clay Lacy Aviation Training. This includes an interface with Contract Training Providers, internal customers, and various business partners.

The Training Administrator will provide direct administrative support to the Director of Training and Director of Standards. The Training Administrator will ensure compliance with federal rules and regulations while promoting the Clay Lacy Aviation vision, mission, and values to create a positive team environment that raises the level of safety, service, and value for our customers and employees.

Responsibilities

  • Manage the planning, communications, and coordination of training and pilot currency
  • Create, implement, and track project plans for training initiatives
  • Creates and maintains training forms and folders for each instructor and crewmember
  • Inputs New-Hire pilots into the company database and software
  • Maintains computer records database for each instructor and crewmember
  • Verifies completion of all training events such as Initial Operating Experience (IOE), line checks, Line Oriented Flight Training (LOFT), Line Oriented Safety Audits (LOSA), and Proficiency Checks before updating the company database
  • Contribute to Safety, Continuous Improvement Plan (CIP), and quality improvement
  • Plan, conduct, and coordinate learning/e-learning activities
  • Develop action plans based on needs assessments and organize meetings with Flight Operations leadership, business partners, and internal customers
  • Work with Director of Training, Director of Standards, and Director of Inflight to develop and maintain annual training calendars
  • Input all training events into Company Pilot Calendars
  • Ensure accuracy and completion of Training and Checking Authorizations (TCA)
  • Assist in the development of flight operations ground training programs
  • Provide currency surveillance of company contract training provider ground instructors
  • Liaise with vendors and various company departments on all crew training-related matters
  • Quality and maintenance oversight of training records including uploading of required documentation into company databases and software
  • Analyze data, identify trends, implement solutions, and ensure continuous performance improvement is achieved
  • Participate as a quality assurance auditor for flight standards and flight operations
  • Generates crewmember “Due” reports and follows up with messaging
  • Schedules monthly enroute line checks for pilots
  • Schedule pilot and cabin attendant training with approved contract training providers
  • Arranges schedule for check pilot and FAA line checks and/or observations
  • Maintain an approved list of contract training provider instructors
  • Track and report the training progression of pilots as they advance through the training program
  • Prepare ground training paperwork including 8410s as required
  • Prepare documentation for crewmembers transitioning to other aircraft
  • Obtain and review all necessary documents from the Part 142 facility
  • Assist in conduct Bi-Annual audits of Part 142 training centers
  • FAA liaison for training records
  • Compiles Quarterly Pass/Fail Reports
  • Maintains the Increased Surveillance List
  • Review all related crew training invoices and submit them to the responsible party for approval
  • Direct administrative support to the Director of Training and Director of Standards
  • Other duties as assigned by the Director of Training or Director of Standards
  • Must be able to pass drug screening and background checks.

Education

  • Bachelor s Degree preferred
  • Program/Project management coursework or experience
  • Advanced Ground Instructor Certificate required (ability to obtain within first 90 days)

Experience

  • Aviation experience preferred
  • Knowledge of FAA regulations preferred

Skills and Abilities

  • Positive communication and interpersonal skills, including public
  • Proactive and collaborative approach to problem-solving
  • Expert knowledge of Microsoft Suite
  • Instructional/Facilitative Skills and ability to speak to small-medium groups
  • High level of technical acumen regarding EFB and industry-specific programs
  • Ability to interact with all levels of company personnel
  • Ability to perform statistical analysis
  • Manage multiple projects at one time with time-sensitive deadlines
  • Maintain confidentiality and handle sensitive situations appropriately
  • Adaptability in an aggressive growth environment

 

Expected Hours of Work

This is a full-time position. Days and hours of work vary depending on reporting demands. Up to 25% travel is required
