Position Summary
The Payroll Specialist is responsible for supporting the end-to-end payroll process for a multi-state workforce of over 700 employees. This role blends transactional precision with a strong commitment to service excellence and internal partnership across the organization. The Payroll Specialist will not only ensure timely, accurate payroll processing and compliance, but will also be expected to exemplify a commitment to internal relationship-building, confidentiality, responsiveness, and proactive problem-solving.
The Payroll Specialist consistently applies a high level of accuracy, discretion, and systems fluency to all payroll processes, seeing them as critical services that reinforce employee confidence and uphold organizational credibility. - Compensation: $29.55 – $37.09; Eligible for comprehensive benefits.
Duties and Responsibilities
- Serve as a collaborative partner and reliable backup to the Payroll Supervisor in executing semi-monthly and bi-weekly payrolls for 700+ employees with accuracy and timeliness.
- Generate and distribute daily, weekly, monthly, and quarterly payroll and time-tracking reports to support workforce planning, operational insights, and compliance.
- Leverage Excel and CSV tools to analyze, validate, and provide payroll data insights upon request.
- Administer all aspects of timekeeping: enroll new hires in the timeclock system, update timecard punches, and process time-off requests in Workday with a service-oriented approach.
- Act as a liaison between frontline supervisors and HR to troubleshoot and resolve timekeeping discrepancies in accordance with policy and with respect for team relationships.
- Uphold the highest standards of confidentiality, discretion, and judgment when handling sensitive employee data and payroll documentation.
- Prepare and submit Personnel Action Forms (PAFs) in both Workday and Paycom, reflecting employee status changes, one-time payments, and compensation adjustments.
- Fulfill verification of employment (VOE) requests accurately and promptly to support employees’ external needs.
- Ensure accurate entry of on-call pay for designated departments and validate special pay categories with cross-functional teams.
- Enter and audit new hire and rehire data in the HRIS/Payroll system, ensuring alignment with compliance and system accuracy standards.
- Process hourly payroll with rigorous attention to accuracy, including one-time payments and personnel changes.
- Review and audit salaried payroll processed by the Payroll Supervisor to ensure internal consistency and compliance.
- Support the semi-monthly 401(k) reconciliation process and contribute to the resolution of any discrepancies.
- Contribute to digitization and continuous improvement efforts within the payroll and HR teams, promoting streamlined, paperless practices.
- Participate in internal and external audits by preparing payroll records, reports, and documentation as needed.
- Demonstrate adaptability by supporting departmental projects and responding to evolving needs of the People Operations team.
- Provide exceptional internal customer service to employees and managers, responding to payroll-related inquiries with clarity and care.
- Perform other related duties as assigned in support of People Operations and organizational goals.
- Support semimonthly 401 (k) reconciliation process
- Support the ongoing digitization goals of the payroll and HR departments with regard to personnel files and confidential paperwork .
- Assist with audits and projects for department as needed.

Essential Job Functions
- Ability to operate designated technology devices and programs.
- Ability to work in the designated office and its environment as well as indoor and outdoor environments within airports including airside facilities, landside facilities, and terminal buildings.
- Must be able to communicate verbally and in writing with internal and external stakeholders in a variety of small and large group settings.
- If needed, must have a reasonable space to work from home/remotely with appropriate office set up.
- Ability to work extended hours and in a flex schedule to meet the demands of the position.
- Able to comply with any and all safety requirements necessary to perform the job safely.
- Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state, and local standards.
Required Education and Experience
- College degree preferred but not required, or appropriate work experience in lieu of degree.
- Experience working with multi-state payroll processing using HRIS/Payroll systems such as Workday, ADP, Paychex and Paycom. Familiarity with Workday preferred.
- Demonstrated excellent analytical skills, organizational ability, and critical thinking skills.
- Strong proficiency in Excel (VLOOKUPs, Pivot tables, other intermediate level functions) and Microsoft Outlook.
- Proven ability to work both independently on projects and as part of the larger team.
- Excellent verbal and written communication skills.
- Proven project management, organizational and time-management skills.
- A willingness to learn, problem-solve creatively, and work cooperatively to assist others
